By creating groups of students, sessions can automatically enroll students, be limited to allowing only specific students to see and request sessions, and create sessions that automatically draw in specific students whether or not requests have been made. And, with only a few clicks, you can create a group for a tutorial session and modify it easily should the need arise. Groups also make it easier to manage and hold club meetings or sessions. For example, if you are the Yearbook Advisor, you can create a group in the system for your Year Book Club, using it each time you hold a meeting. Further, should you need to add or remove members, it is just a few simple mouse clicks. Giving you time back. 


#7. Prioritize Who You Need To See

As former teachers, Edficiency knows the importance of getting the students you need, and we know how critical it is to have teacher requests take precedence over student requests. This is why we assign students using an algorithm with different levels of priority, and teacher requests supersede student requests in the system. You have the autonomy to determine if you need to see a student at a high level of request as it is important or a low level if it is something that would be a benefit but isn’t urgent. An added bonus is the ability to request them up until midnight the night before your flex period.


#8. Automatically Get Those You Need More Time With

Edficiency offers an additional feature for teachers called the "At-Risk" flag. This flag is used to identify students who you could always use more time with, whether they are struggling in a particular subject area, you see their grades slipping, have social-emotional needs, are frequently missing assignments, or even those that have a good relationship with a teacher. Once a student is flagged, the system automatically assigns them to the teacher who flagged them if they don’t have a more important place to be on any given day. This ensures that regular check-ins can be done with the student without having to go in and make regular requests in the system. The flag can be easily removed anytime once the student's needs have been met.

 

#9. Balanced Class Sizes

Edficiency has two built-in features that ensure fair and equitable distribution of students - balancing class sizes and enforced maximum class sizes. This means that the system can determine what a balanced classroom looks like by calculating the average capacity of each session and what percent of it should be filled. Then, it can take that information to ensure a session that already has more assigned students (based on intentional requests) will not have more seats filled, ensuring that each session has a relatively equal number of students assigned. For example, if Teacher A requests 10 students and has 20 available seats while Teacher B requests only 5 students and has 20 available seats, and each session should be half full on average, Teacher A will not receive any extra students. In comparison, Teacher B would likely get another 5 (or so) students assigned to them in addition to the 5 they requested, resulting in both teachers having 10 students assigned out of their 20 open seats. Additionally, the system also knows which teachers each student has to ensure that, whenever possible, an unrequested student is assigned to a teacher they know from their regular schedule.


#10. Never Getting More Kids Than You Can Take

When planning flex period sessions, we always consider meeting the needs of our students, as well as student safety. This is a key consideration and matters during flex periods. Therefore, the system enforces a maximum number of students to be assigned to each session (even if it varies based on what is happening in that space). Edficiency will automatically recognize maximum class sizes for each location proactively, meaning staff will never get more students assigned to them than they can take. Further, depending on the type of session the teacher has planned for the day, the maximum class size can be adjusted easily by the teacher or the administrator. This means a wide variety of sessions can easily be offered. For example, a large study hall in the library with 100 seats can be held so a teacher can provide intervention in their classroom with a limited session of 20 seats. The system assigns students accordingly and enforces the limits without the need for intervening, providing a hassle-free experience for everyone involved.


#11. No Double-Booking Locations During Flex Time

Efficiency ensures there are no unintended conflicts when staff schedule sessions, which is especially helpful in shared spaces like the library, auditorium, and cafeteria. Each teacher oversees a single session in a specific location. And, each teacher can only have one session per day. Additionally, each location can only be used by one teacher at a time, unless an administrator approves splitting the location between two teachers. This means you don't have to worry about overlapping schedules or double bookings. Once the sessions are created and locations are assigned, they are no longer available as options on dropdowns in the system. Therefore, you can breathe easier, knowing that the system ensures your session will occur without the risk of conflict.


#12. Always Know Where Students Are

A great feature that helps everyone in the school, is the ability for administrators and teachers to look up where students are assigned. All staff can look up where every student is assigned, so they can help students ensure they know where they need to be or ensure they know where to find any student in the event a parent calls or comes to pick up a student. This feature takes the guesswork out of trying to figure out where a student not on your roster, but appears in your session is assigned. Furthermore, should the student not have a requested assignment, you could make a change to the enrollment they have for that day. Giving you the ability to see them and work with them if that is needed. This means when Johnny shows up in your room on a day he’s not assigned to you, you can know where he’s supposed to be and whether it’d be appropriate for you to move him into your room for the day based on why he was assigned elsewhere (should you want him to stay, of course, rather than send him on his way).

Password sheets be gone!
